Position Summary
The Assistant Coordinator will support the Secretariat in managing internal and external communications, coordinating activities of P@SHA’s Sector and Sub-sector Committees, and ensuring efficient follow-up on key initiatives. The role requires strong organizational skills, attention to detail, and the ability to maintain effective communication with the Secretariat Team committee members, and relevant stakeholders.
Location: Karachi (1) & Lahore (1)
Responsibilities
- Coordinate activities of P@SHA’s Sector and Sub-sector Committees: schedule meetings, prepare agendas, record minutes, and track follow-ups.
- Maintain structured internal and external communication flows; keep accurate committee records and update contact lists of the stakeholders.
- Organize and archive official correspondence (both digital and physical) of the Secretariat.
- Support event planning and execution in collaboration with the Industry Engagement & Brands team, including logistics, branding, and documentation.
- Manage logistics for committee-related events and meetings, both online and on-ground.
- Draft and process official communications such as government letters, newsletters, and reports; ensure timely follow-up with stakeholders.
- Monitor and manage P@SHA’s official communication channels; respond to queries or redirect them as appropriate.
- Assist in coordinating advocacy, partnership, and industry engagement communications with the stakeholders from the public and private sectors.
- Maintain proper documentation of minutes and ensure systematic follow-ups on assigned tasks.
- Provide administrative support to the Finance & Admin team.
- Maintain an up-to-date database of committee members, government contacts, and relevant stakeholders.
- Serve as a key support resource to the Secretary General and the Secretariat Team
Skills
- Strong understanding of associations, chambers, and public/private sector stakeholder dynamics.
- Excellent analytical and summarization skills; ability to extract actionable insights from complex discussions.
- Detail-oriented with exceptional organizational and coordination skills.
- Familiarity with the IT & ITES industry landscape will be an advantage.
- Proficient in Microsoft Office (Excel, Word, Outlook); comfortable maintaining records and official communications.
- Outstanding verbal and written communication skills.
- Experience working with industry associations, chambers, or similar organizations is preferred.
Education/ Eligibility
- At-least 2 years of relevant experience.
- Bachelor’s degree in Business Administration or Mass communication or a related field.
